Executive Administrative Assistant Job Description

Introduction

ASML US, LP brings together the most creative minds in science and technology to develop lithography machines that are key to producing faster, cheaper, more energy-efficient microchips. Job Mission

The Executive Administrative Assistant will provide seasoned, experienced administrative support to executives and various members of their management teams in two business lines located in Silicon Valley.  Collects and prepares information for use in discussions/meetings of executive staff and outside individuals. Works on tasks with a diverse scope which at time can be confidential in nature where high level of discretion is required. Plans and coordinates executive travel. Exercises judgement within generally defined practices and policies in selecting methods and techniques for obtaining solutions.

Job Description

  • Manage calendar of the senior leadership team
  • Establish and maintain effective and cooperative professional business relationships with all levels of management, employees and external stakeholders.
  • Act as a liaison, problem solver, and facilitator as the first contact for the senior leaders.
  • Manage weekly staff meetings and quarterly All Hands meetings including logistics, agenda/materials and onsite support.
  • Plan and execute events and large meetings including off-sites, trainings and customer meetings.
  • Coordinate international and domestic travel, visa applications, passport changes, ground transportation and hotel accommodations for General manager and senior leadership team.
  • Serve as key contributor to the local internal communications program
  • Maintains confidentiality of all corporate, human resource and technology matters
  • Independently manage multiple projects and determine priorities in a fast paced, rapidly changing environment
  • Perform all responsibilities with a high degree of discretion and initiative

Executive Administrative Assistant Job Requirements

Education

  • A minimum of 6-8 years of  experience in an administrative support role at the executive level.
  • Requires a High School diploma, professional certification or equivalent experience in working with senior level executives.
Experience
  • Discretion combined with poise and professionalism in all communications.
  • Demonstrated strength in multi-tasking and prioritizing work with a strong attention to detail.
  • Excellent planning, organizational and written and verbal communication skills.
  • Advanced proficiency in Microsoft Office. Experience with Concur.
  • Must be proactive and solution oriented, looking for ways to add value and assist the team.
  • A positive "can do" attitude and sense of humor are essential.
Personal skills
  • Strong written and oral communication skills are a must
  • Excellent organization, prioritization, multi-tasking, and time management skills
Context of the position
This position primarily works in an office environment. It requires frequentsitting, standing and walking. Daily use of a computer is required. May stand for extended periods when facilitating meetings.
